This guide walks you through setting up LawnPro after you sign up, in the order that saves the most time.
LawnPro also has a Getting Started page at the top of the left menu, with a video and shortcuts to each step below. You can hide it later by unchecking Show Getting Started Page.
Set up your account
1. Add your company info. Click the gear icon at the top of the screen to open Settings. On Your Business Profile, fill in your company name, business email, phone and address. Customers see these on estimates, invoices and texts. Click any field to edit it; changes save on their own.
2. Upload your logo. On the same page, drag your logo into Add Your Logo to Invoices, Estimates & Documents (JPG, GIF or PNG, about 200 × 200 pixels). To choose a color and layout for your estimates and invoices, click Open Document Settings under Client Document Settings.
3. Add your items and services. Go to Resources → Items and Services and add the services you sell, such as mowing, aeration or a fertilizer round, with their prices. Do this before adding customers so you can set default services on each property.
4. Add your customers. Go to Customers → Customers and click New Customer. You need a customer before you can create an estimate, an invoice or a visit.
- Under Service Property, leave Service address same as billing selected and LawnPro creates the customer’s property for you. Choose Different service address if you work at another address. A property is where you do the work, and you need one to schedule a visit.
- On the property, add its Default Items or Services so LawnPro suggests them when you create an estimate for that property.
- Have a list already? Choose New Customer → Import Customers to upload a CSV file. You can also import from QuickBooks Online with the QuickBooks Sync add-on.
5. Set up online payments. In Settings, open Setup & Manage Online Payments to accept cards online. US businesses can sign up for LawnPro Payments; you can also connect Stripe or turn on PayPal. On the free plan, LawnPro Payments opens once your account is 30 days old. Set this up from a computer; it isn’t available in the mobile app.
6. Add your team. Go to Resources → Employees and click Add Employee. Employees who sign in need a login: Startup includes 3, Grow 7 and Plus 15, and extra logins are $19 a month each. Employees you track without giving them a login don’t use one.
7. Get the mobile app. Download LawnPro from the App Store or Google Play. Your crew can see their schedule and complete visits from their phones. A few settings, such as online payments and billing, are only available on a computer.
Do your first jobs
8. Send an estimate. Go to Finances → Estimates and click New Estimate. Pick the customer, add your items and services, and send it. Your customer can approve it online.
9. Schedule a visit. Go to Schedule → Schedule, click New Event and choose Visit to Customer. Pick the customer and property. For regular work, set Type to Recurring Series of Visits and choose how often (weekly, every two weeks, monthly and so on) and when the series ends. From an estimate, you can also click More Actions → Schedule Visit.
10. Invoice the work. When a visit is done, click it on the calendar and choose Complete & Invoice. You can also go to Finances → Invoices → New Invoice, or open an estimate and click More Actions → Create Invoice, then Yes to confirm.
11. Record a payment. Open the invoice and click More Actions → Add Payment. If the customer has a card on file, choose Add Payment & Charge Card.
