Overview

Price Matrix lets you set up tiered pricing for each service based on property square footage. Instead of charging every customer the same flat rate, the price adjusts automatically based on the size, difficulty, and service frequency of each property.

Example: You charge $35 to mow a small lawn (under 5,000 sq ft) but $90 for a large lawn (20,000–30,000 sq ft). With Price Matrix, you set this up once, and every estimate pulls the correct price based on the property’s lawn size.

To access Price Matrix, go to Settings > Price Matrix.

You’ll see a list of all your services with their current matrix status: ActiveDisabled, or Not Set.


Quick Setup

If you have no matrices set up yet, you’ll see a Quick Setup card at the top of the page.

Click the “Quick Setup — Fill All Services” button and LawnPro will:

  1. Look at all your services
  2. Match each service name to a preset (mowing, fertilization, aeration, leaf removal, hedge trimming, mulching, edging, overseeding, dethatching)
  3. Create pricing tiers using industry-standard rates for each matching service
  4. Apply a sensible default for any services it can’t match by name

This creates matrices for all your services at once. The page will refresh and every service will show as Active. You can then click into any service to customize the tiers.

Note: Quick Setup skips any services that already have a matrix configured. It will not overwrite existing pricing.


Editing a Service

Click the Edit or Set Up button next to any service to open the Price Matrix editor for that service.

The editor page has the following sections:

  • Pricing Tiers — the tier table with square footage ranges, prices, and budgeted hours
  • Difficulty Multipliers — multipliers for easy, medium, and hard properties
  • Frequency Adjustments — percentage markups for one-time, biweekly, and monthly visits
  • Overflow Pricing — what to charge for properties that exceed the last tier
  • Test Calculator — test any combination of square footage, difficulty, and frequency to preview the calculated price
  • Copy From — copy settings from another service that already has a matrix

At the top, you can choose which measurement to base pricing on: Lawn Size (turf area only) or Lot Size (entire property). Most lawn care services use Lawn Size.


Pricing Tiers

The tier table is the core of Price Matrix. Each row defines:

  • Min (sq ft) — the lower bound of the range
  • Max (sq ft) — the upper bound of the range
  • Price ($) — the base price for properties in this range
  • Budgeted Hours — estimated time to complete the job for properties in this range

Example tier table for mowing:

If a property has a lawn size of 8,000 sq ft, it falls in the 5,001–10,000 tier and the base price is $45.00.

To add a tier, click + Add Tier. To remove a tier, click the red  button on that row.

Important: Tier ranges cannot overlap, and the minimum must be less than the maximum.


Difficulty Multipliers

Not every lawn is the same difficulty. The difficulty multiplier adjusts the tier price based on the property’s difficulty rating.

  • Easy (default: 1.00x) — flat, open lawns with no obstacles. Price stays at the tier price.
  • Medium (default: 1.20x) — some slopes, fencing, or landscaping. A $45 tier becomes $54.
  • Hard (default: 1.50x) — steep hills, tight areas, heavy obstacles. A $45 tier becomes $67.50.

You can change these multipliers to whatever makes sense for your business. The difficulty is set on each property’s asset record (see Setting Up Properties).


Frequency Adjustments

How often you visit a property affects profitability. One-time visits cost more due to setup time, travel, and no recurring revenue.

Frequency adjustments are set as a percentage markup over the base price:

  • Weekly (default: 0%) — your base rate. No adjustment.
  • Biweekly (default: +15%) — slight markup. Grass grows more between visits.
  • Monthly (default: +30%) — significant markup for longer gaps.
  • One-Time (default: +25%) — premium for non-recurring visits.

Example: A tier price of $45 with a medium difficulty (1.2x = $54) at biweekly frequency (+15%) = $54 × 1.15 = $62.10.


Overflow Pricing

For properties larger than your last tier, overflow pricing adds an incremental charge.

Configure three settings:

  • Per Unit (sq ft) — the block size for overflow. Default: 5,000 sq ft.
  • Price per Unit ($) — how much to add for each block. Default: $10.00.
  • Hours per Unit — budgeted time to add for each block. Default: 0.25 hours.

Example: Your last tier is 30,001–43,560 sq ft at $120. A property with 55,000 sq ft exceeds the last tier by 11,440 sq ft. At every 5,000 sq ft = $10 more, that’s 3 blocks (rounded up) = $30 overflow. The base becomes $120 + $30 = $150.

If you don’t want overflow pricing, leave the price per unit at $0.00.


Test Calculator

The test calculator at the bottom of the editor lets you preview the price calculation before saving.

Enter:

  • Square Footage — the test property size
  • Difficulty — Easy, Medium, or Hard
  • Frequency — Weekly, Biweekly, Monthly, or One-Time

Click Calculate and you’ll see:

  • The final price
  • The budgeted hours
  • step-by-step breakdown showing how the tier, difficulty, and frequency adjustments were applied

Tip: The test calculator uses the values currently on screen—even if you haven’t saved yet. This is a great way to experiment with different tier prices before committing.


Auto-Pricing Mode (Suggest vs Auto-Fill)

At the top of the Price Matrix list page, you’ll see an Estimate Auto-Pricing Mode dropdown. This controls how Price Matrix works on the estimate form:

  • Suggest — A badge appears next to the price field showing the matrix-calculated price. Click the badge to apply it. This gives you a chance to review before accepting.
  • Auto-Fill — The price fills in automatically when you select a service on the estimate. No extra click needed.

In both modes, you can always override the price manually by typing in the price field.


Setting Up Properties for Price Matrix

For Price Matrix to calculate prices, each property needs two pieces of information on its asset record:

  1. Lawn Size (sq ft) — The square footage of the turf area. Enter this when adding or editing a property.
  2. Difficulty — Easy, Medium, or Hard. This is based on your assessment of the property’s terrain, obstacles, and access.

To set these, go to the customer’s property, click Edit on the asset, and fill in the Lawn Size and Difficulty fields.

If a property doesn’t have a lawn size set, the Price Matrix cannot calculate a price and will not suggest one on the estimate.


How It Works on Estimates

Here’s the full flow when creating an estimate:

  1. Open a new estimate for a customer
  2. Select the customer’s property (which has a lawn size and difficulty set)
  3. Add a service line item (e.g., “Mowing”)
  4. If that service has an active Price Matrix:
    • Suggest mode: A green badge appears showing the calculated price. Click it to apply.
    • Auto-Fill mode: The price and budgeted hours fill in automatically.
  5. Adjust the price manually if needed
  6. Send the estimate to your customer

The frequency used in the calculation is based on the frequency selected on the estimate (one-time, weekly, biweekly, or monthly).


Copy From Another Service

If you have a service already configured and want to use it as a starting point for another, the editor has a Copy From dropdown at the bottom. Select a service that already has a matrix, and its tiers, difficulty multipliers, frequency adjustments, and overflow settings will be copied into the current service. You can then adjust the numbers as needed.

This is useful when two services have similar pricing structures—for example, copying your “Lawn Mowing” matrix to “Grass Cutting” and making minor tweaks.


Disabling or Deleting a Matrix

You can disable a matrix without deleting it. A disabled matrix will not suggest or auto-fill prices on estimates, but the tier configuration is preserved so you can re-enable it later.

To delete a matrix entirely, open the service’s editor and use the delete option. This removes the matrix and tiers from the database. The service will revert to using its catalog flat price.

Note: Deleting a matrix does not affect any existing estimates or invoices that were created using that matrix’s prices.
